How NexVerse Arcade Inc. handles your personal information. Last updated October 3, 2026.

Who we are

NexVerse Arcade Inc. (“NexVerse”, “we”, “us”) operates a virtual-reality arcade entertainment venue in Markham, Ontario, Canada, and the website you are reading this on. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law.

What we collect

We collect only what you give us directly:

  • Waitlist: your email address and the page you signed up from, when you join the waitlist.
  • Contact form: your name, email address, and the message you send us.
  • Account: your name, email address, and a hashed password when you create an account, plus records tied to your account such as bookings, tournament registrations, and loyalty points.
  • Student Card: your name, email address, and phone number when you register for our free Student Card, plus your consent preference for SMS/email updates.
  • VR preference survey (optional): if you complete the in-account survey, we collect your self-reported VR experience level, preferred genres, motion comfort level, typical group size, and interest areas. This is used only to personalise your experience recommendations.

We do not run third-party advertising trackers on this site. When our Google Analytics 4 (GA4) integration is active, GA4 collects page-view events, device and browser type, and an anonymised IP address to help us understand aggregate site traffic. GA4 uses cookies for this purpose. GA4 is operated by Google LLC (US); see Google’s Privacy Policy for details. No advertising or cross-site tracking features of GA4 are enabled.

How we use it

  • To tell you when we open and about launch offers, if you joined the waitlist.
  • To reply to messages you send through the contact form.
  • To operate your account: bookings, tournaments, and loyalty rewards.

We send marketing email only where Canada’s Anti-Spam Legislation (CASL) permits it — you can withdraw consent at any time by contacting us, and every marketing email we send will include an unsubscribe option.

Where it is stored and who processes it

Your data is stored in a managed Neon Postgres database hosted on cloud infrastructure in the United States (AWS us-east-1), with access restricted to the venue’s operators and its website contractor. Because the data is stored outside Canada, it may be subject to the laws of that jurisdiction while stored there.

We use the following US-based service providers who may process your personal information on our behalf:

  • Neon (database host): stores all account, booking, waitlist, and loyalty data on AWS us-east-1.
  • Resend (email delivery): receives your email address and the content of transactional emails (e.g., account verification, password reset) in order to deliver them.
  • Square (payment processing): processes payments for Founder Passes and other purchases via a Square-hosted checkout. Square receives your payment details and associated email address under Square’s own privacy policy.

Each provider is contractually bound to use your data only for the purpose of delivering services to us.

How long we keep it

We retain personal information only as long as necessary:

  • Waitlist signups: until you unsubscribe or the venue has been open for 12 months, whichever is sooner.
  • Contact messages: until your enquiry is resolved, and for a further 12 months for correspondence records.
  • Account data (bookings, loyalty points): for the life of your account plus 7 years for financial record-keeping purposes.
  • Payment records: 7 years from the transaction date, as required for tax and accounting purposes.

You may request deletion of your account and associated data at any time by contacting us (see “Your choices and rights” below). Financial records required by law cannot be deleted.

What we never do

We do not sell your personal information, and we do not share it with third parties for their own marketing. We disclose it only to the service providers listed above or where the law requires.

Your choices and rights

  • Ask us what personal information we hold about you.
  • Ask us to correct or delete it, including removing you from the waitlist.
  • Withdraw consent to marketing at any time.

To exercise any of these, email nexversearcade@gmail.com. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

If we change this policy, we will update this page and the “last updated” date above. Questions? Reach us via the contact page.
